Welcome to Church Loop. These Terms of Service ("Terms") govern your access to and use of the website, services, and applications offered by Church Loop (the "Service," "we," "us," or "our"). Church Loop is a software-as-a-service (SaaS) platform designed specifically for UK religious organisations to manage visitor follow-up, events, and church administration.

By creating an account or using our Service, you agree to be bound by these Terms. If you are using the Service on behalf of a church or organisation, you represent that you have the authority to bind that entity to these Terms.

1. The Service

Church Loop provides tools for visitor follow-up journeys (SMS, email, and tasks), people profiles, event management (sign-ups, ticketing, check-in), team collaboration, and custom forms. The Service is provided "as is" and is subject to updates and modifications at our discretion.

2. Account Registration

Who can register: The Service is primarily intended for churches and religious organisations located in the United Kingdom. By creating an account, you confirm you have the authority to accept these Terms on behalf of your church/organisation.

Accurate details: Please provide accurate and up-to-date information during registration and keep it current.

Account security: You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. Please let us know straight away if you suspect any unauthorised use of your account.

Team members: You may invite staff and volunteers to your team. You're responsible for ensuring everyone using your account complies with these Terms.

3. Subscriptions and Payments

Pricing: Access to the Service is provided on a subscription basis. Our standard pricing is £29 per month.

Founding Church Offer: Churches that joined under our "Founding Church" offer are entitled to a rate of £19 per month for the life of their continuous subscription.

Billing: Subscriptions are billed in advance on a monthly basis. All fees are non-refundable unless required by law.

Taxes: Fees are exclusive of VAT where applicable.

Changes:We reserve the right to change our fees upon thirty (30) days' notice. For Founding Churches, the base subscription rate remains locked as per the offer terms, provided the account remains active and in good standing.

4. Acceptable Use of the Platform (SMS, Email, and Visitor Follow-up)

Lawful and respectful use: You agree to use the Service only for lawful purposes and in line with UK laws and guidance that may apply to messaging and marketing (including privacy and e-marketing rules).

Built for genuine church follow-up: Church Loop is designed to help churches follow up visitors and stay connected. Please use it in that spirit—warm, human, and appropriate for the relationship you have with the person you're contacting.

No spam or harmful content: You must not use the Service to send spam, unsolicited bulk messages, or misleading communications. You must not send content that is unlawful, defamatory, harassing, hateful, obscene, or infringes someone else's rights.

Consent and preferences: You represent that you have the necessary lawful basis/consent to collect contact details and to send SMS and email via the Service, and that you will honour opt-outs and preferences. You are responsible for the content, timing, and recipients of messages you send.

Your responsibility for lists and journeys: You are responsible for how you configure journeys, forms, and automation and for ensuring messages go to the right people at the right time.

Third-party networks: SMS and email delivery depend on third-party networks/providers. Delivery is not guaranteed, and you agree not to use the Service in a way that risks those providers blocking or rate-limiting traffic (for example, by sending high-volume or non-consensual messages).

5. Data Ownership, Data Protection and Privacy

Your data stays yours: You retain all rights and ownership of the data you (or your team) input into the Service, including personal data about your congregation, visitors, and contacts ("Customer Data"). We do not own your Customer Data.

Permission to run the Service: You grant Church Loop a limited, non-exclusive licence to host, store, back up, and process Customer Data only to provide, maintain, and improve the Service (including support and security).

UK GDPR roles: Both parties agree to comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. You are the Data Controller for Customer Data, and Church Loop is the Data Processor.

Privacy Policy: Our processing of personal data is further governed by our Privacy Policy, available on our website.

6. Intellectual Property

Our Property: Church Loop and its original content, features, and functionality are and will remain the exclusive property of Church Loop.

Feedback: If you provide suggestions or feedback, we may use such information without any obligation to you.

7. Limitation of Liability

To the maximum extent permitted by law, Church Loop shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or goodwill, arising out of or in connection with your use of the Service. Our total liability for any claim shall not exceed the amount paid by you to us in the twelve (12) months preceding the claim.

8. Cancellation and Termination

Cancel any time: You may cancel your subscription at any time through your account settings. Your cancellation will take effect at the end of your current billing period unless required otherwise by law.

No refunds (unless the law says otherwise): Fees are non-refundable except where required by applicable law.

We may suspend or end access: We may suspend or terminate your access to the Service if you breach these Terms, if we need to do so to comply with law, or if you fail to pay subscription fees.

What happens on termination: Upon cancellation or termination, your right to use the Service will end. You are responsible for exporting your data prior to cancellation/termination. We may delete Customer Data after a reasonable period in line with our retention practices, unless we're required to keep it for legal, regulatory, or security reasons.

9. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
